Reserve rooms in Leyburn and Telford Science libraries with the university’s 25Live room reservation software.

Reserve a Room in the University Library

General Information

General Guidelines

  • Reservations must be made for dates and times that University Library is open.
    • If the library is closed our rooms may not be used. Typically, we are closed in the evenings and weekends during academic breaks and the summer months.
  • Reservations may not exceed 4 hours per day.
    • If reservations exceed 4 hours per day, you will be notified that your reservation(s) has been canceled. You must input your reservation again in 25Live to comply with our protocols.
  • If a reservation is not claimed within the first 30 minutes after its start time, it is considered cancelled.
    • Anyone may use the room at that point.
  • Academic classes and exams take priority over other events.
    • In the event of a scheduling conflict, we will make every attempt to accommodate both parties.
  • Unattended items are moved to the Library’s Lost & Found.
    • Students may not leave belongings in any area (other than Leyburn locked studies or lockers on Leyburn’s LL 2 & 4) for more than 24 hours.
  • All reservations must comply with the Washington and Lee University Facilities Use Policy.

Audio/Visual Equipment Requests

Furniture Set-up

  • For furniture set-up requests call Facilities at 540.458.8490
  • Request that Facilities “break-down”; the room after your event. Add one hour to the start and end time of your reservation to accommodate this process.
  • For Northen Auditorium, it is the responsibility of the group making the reservation to have furniture returned to “Admissions” seating at the conclusion of the event. View available furniture set-ups for Northen.

Additional Details

  • Below is a list of popular student study spaces in the University Library.
    • Leyburn Library also has a number of spaces that are classrooms during the academic year. They may be reserved in 25Live.
    • Contact the Harte Center for information about their spaces (located on Leyburn’s LL1) or reserve them in 25Live.

M40, M41, & M42 are each equipped with:

  • conference table wired with an: HDMI port, VGA port, network (Internet) port, and power outlet
  • phone jack
  • in-room computer
  • webcam

Versatile Learning Classroom (M47), Leyburn

  • Reserve this Room
  • Reserve for classroom use (weekdays from 8 am to 5 pm) contact the University Registrar’s office
  • Technology rich room designed for collaborative class or group work
  • Available for group use most evenings and weekends
  • Due to space demands, reservations for this space must be made for at least 2 people or more
  • If the space is locked ask for it to be opened by the staff at the Information Desk

 

The Versatile Learning Classroom is equipped with:

  • 4 group workstations, each with:
    • one table wired with power outlets and media ports
    • six chairs
    • one flatscreen TV
  • projector and large screen
  • large white board
  • many small portable white boards
  • podium on wheels
  • room console with a built-in technology control hub, smart sympodium, and media cables (HDMI, VGA, Ethernet, & composite AV cables)
